Batch Fill automatically recognizes the values in the selected table and assigns the column names to the form fields. Our AI then goes through line by line and writes the cell value into the form. Each row in your CSV file generates a separate filled PDF, streamlining the process of completing numerous forms, ensuring consistency and efficiency.

Why fill out PDF forms in a batch?​

Imagine processing 100 visa applications, each requiring filling the same government form. That's hundreds of complex forms to complete manually, you'd have to type in the same info (name, address, passport number, etc.) over and over again. Using Batch Fill, you can put all that info in one spreadsheet, upload it, and fill out all forms automatically, saving days of work and ensuring accuracy.

Or consider a property management company preparing lease agreements for 50 properties. Every form needs accurate tenant information, property details, and specific clauses. Manually filling out these forms for each property is a task with a high potential for mistakes. Using Batch Fill, you can input all tenant information into a single CSV file and generate all necessary documents in one go.

Here are some specifics about how Batch Fill works:

• File Size: We can handle files up to 2MB. This is enough for most use cases - it's roughly equivalent to a 100-page text document or a spreadsheet with about 10,000 to 20,000 rows of text data.

• Max Rows and Columns: Our system can process up to 1000 rows and 20 columns. This means you could fill out separate forms for every employee in a large corporation, or handle a year's worth of daily data entries. The 20-column limit should cover most complex forms, but if you need more, let us know and we can see what we can do.

• Supported File Types: Instafill supports several common file formats:

  • Comma-Separated Values (.csv): A simple, universal format that works with most spreadsheet programs.

  • Excel files (.xls and .xlsx): Both older and newer versions of Excel are fine.

  • Tab-Separated Values (.tsv): Similar to CSV, but uses tabs instead of commas.

These formats cover the most widely used spreadsheet types, ensuring compatibility with various data sources and software.

• Processing Time: Filling 100 rows takes about 2 minutes, compared to 2-3 or even more hours manually.

Current limitations​

There are a couple of things to keep in mind when using Batch Fill:

• Column Names: We currently only support column names in English and match with the field names in your PDF form so our AI can match them properly. The actual data can be in any language, but the headers in your spreadsheet need to be in English (like "First Name", "Address", etc.). If your column names are in another language or don't match the PDF form fields, you'll need to translate or adjust them before uploading.

• Google Sheets: We don't support Google Sheets directly at the moment. However, you can easily export your Google Sheet to a CSV file and upload that to our system. Here's how:

  • Open your Google Sheet.

  • Click on File > Download > Comma-separated values (.csv).

  • Upload this CSV file to our system.

This method works well and still saves you considerable time compared to manual entry. We're considering direct Google Sheets integration for future updates.

How to join the beta test​

We think this feature could be a real game-changer, especially if you deal with lots of forms regularly. That's why we're reaching out to you to test it out before we release it to everyone. If you're interested in giving it a try, here's what you need to do:

This section lets you view the last five profiles you’ve created. Predefined profiles allow you to fill out forms even faster using the instructions previously uploaded. You can edit any profile by clicking the three dots menu or add a new profile by clicking the "CREATE NEW PROFILE" button.

Recent forms 📝​

This section gives you access to the five most recent filled PDF forms. Clicking on a recent form opens the wizard, allowing you to review the form you’ve already filled out and refill it if necessary.

Batch filling 📂​

This section shows the last five forms you filled in a batch. This feature allows you to fill out multiple PDF forms automatically using data from a CSV file or spreadsheet. You can use a template to map data fields and fill them all at once.

To access the dashboard, go to Instafill.ai and click "Sign in" to log into your account. 2. Once your form is uploaded, our AI analyzes it and provides a list of the information or documents required to fill it out. This way, you’ll be fully informed about what’s needed, based on the type of form you’re working with.
3. Upload the necessary documents and provide additional details that may assist our AI in filling out the form, if needed. You can upload a PDF document, text file, or even a photo from your phone. You can also copy and paste text directly into the free-text form, just like before.
4. View the actual PDF form during this step. This allows you to easily reference the form and understand which information to provide.
5. Once everything is ready, click "I’m done. Fill the document!" and Instafill.ai will fill out the form based on the information you provided.

1/5. PDF form types​

Instafill.ai can handle most types of fillable PDFs, making it easy to automate form filling. Whether it's a simple application or a complex legal document, our AI identifies the fields and fills them in with the data you provide.

Current Limitation: Instafill.ai currently does not support XFA forms. These forms have a different structure compared to other PDFs, which our AI isn’t able to process yet. For all other fillable PDFs, you can expect high accuracy and efficiency. If your form is in XFA format, you’ll receive an appropriate message.

If you need to fill XFA forms, let us know. Your feedback is important, and we’re always looking to improve. If XFA support is something you need, please share that with us at [email protected].

2/5. Batch form filling​

Batch Fill is a powerful feature that allows you to fill multiple PDF forms simultaneously using data from a CSV file or spreadsheet. This is especially useful for tasks like bulk processing of applications or contracts, saving you significant time and ensuring consistency across all documents.

Current Limitations:

• Column Headers: For best results, make sure your CSV column headers are in English and match the field names in your PDF forms. The actual data can be in any language, but the headers in your spreadsheet need to be in English (like "First Name", "Address", etc.). If your column headers are in another language or don't match the PDF form fields, you'll need to translate or adjust them before uploading.

• Google Sheets: We don't support Google Sheets directly at the moment. You will need to export your Google Sheets as a CSV file before uploading to our system. Here's how:

  1. Open your Google Sheet.
  2. Click on File > Download > Comma-separated values (.csv).
  3. Upload this CSV file to our system.

This method works well and saves you time compared to manual entry. We're considering direct Google Sheets integration for future updates.

3/5. Sign PDF documents​

The Instafill.ai Sign feature lets you add digital signatures to your PDF forms. You can sign the form within Instafill.ai after filling it out, so there's no need to print, sign by hand, scan, and email. This simplifies document management from start to finish.

Limitation: Currently, the Instafill.ai Sign feature is only available on desktop devices. We’re working on expanding this capability to mobile platforms, with an expected release in the upcoming weeks. In the meantime, please use your desktop for signing documents with Instafill.ai.

If signing documents on mobile is essential for your workflow, please let us know. Your feedback helps us prioritize launching Instafill.ai Sign on mobile devices.

4/5. Multiple data sources​

When adding a new form to Instafill.ai, you can attach various data sources and provide specific instructions to ensure accurate form filling. Our AI depends on the quality and consistency of the data you provide. However, if you’re using multiple sources that contain conflicting or irrelevant information, our system might struggle to return the necessary details for accurate filling.

Current Challenge: Sometimes, the AI may encounter difficulties when processing data from multiple sources, which could lead to incomplete or incorrect form filling. This might result in the AI adding fictional information, skipping fields, or not adhering to the expected format.

Upcoming Enhancements: To improve this, we’ll be adding an additional step before uploading your sources. This step will include a detailed guide on the information expected to ensure complete and accurate form filling. Additionally, after uploading your sources, our system will analyze the data and provide feedback on what needs to be removed, clarified, or added, helping you refine the information before final processing.

5/5. Review filled forms​

Currently, Instafill.ai provides a handy wizard that guides you through each field of the form after it’s filled. This feature allows you to review the content and make corrections if necessary. It’s a great way to ensure the PDF is filled accurately before finalizing and downloading it.

Current Limitation: While the wizard is effective, we understand it can be inconvenient to switch between fields without seeing the entire form. Users can review and correct fields through the wizard interface, but it might be challenging to get a full view of the document and how the information looks in context.

Upcoming Improvement: We’re developing a feature that lets you review and edit fields directly on the filled form. You’ll be able to see the entire document as it appears in its final form, click on any field, and make adjustments right there. This will make the review process more visual and efficient, helping you ensure your form is perfectly filled out.

We’ve added a new feature to Instafill.ai that gives you more control over your files and how they are handled. This update is designed to provide more privacy and security by allowing you to decide what happens to your files after they are processed.

What’s changed?​

Your files are stored securely on our servers in Microsoft Azure data centers, which allows you to easily re-use the data for refilling forms without needing to re-upload them. While this option remains available, we understand that some users prefer not to store their files after processing.

How it works​

1. Upload your form: Go to Instafill.ai and click the "Upload PDF Form" button.
2. Submit the form: Once your form is uploaded, click "Submit."
3. Enable the feature: On the next screen, "Step 2/2. Required documents," check the option "Remove files immediately after processing" at the bottom left of the page if you don’t want to store any data.
4. Provide the required information: Above that option, you’ll see a list of the information needed to fill out the form. Provide the necessary data and sources.
5. Review and download: When you're ready, click the "Preview PDF" button at the top right to review and download your filled PDF. After that, all your files and data will be securely deleted from our servers.

Things to keep in mind​

• No stored data: Once the form is processed, all files—including the filled PDF and any uploaded data—will be permanently deleted from our servers.
• Limited features: This feature limits the ability to re-fill forms automatically using previously entered data or uploaded files. If you need to modify a form or fill out a new one, you’ll need to re-upload your files and enter your information again.

This feature is optional, so you can decide what works best for you. If you prefer the convenience of quickly re-filling forms, storing your files temporarily might still be a good option. But if privacy is your priority, this new feature gives you the flexibility to remove all your data right after processing.

   Start by uploading any fillable PDF form to Instafill.ai. Whether it's an immigration application, insurance claim, tax return, Medicare document, legal form, DMV form, or any other fillable PDF form, we’ve got you covered.

2. Instant analysis and detailed instructions
   Once your form is uploaded, our AI analyzes it on the backend. It examines the form field by field and generates a comprehensive list of all the required information and documents needed to fill out the form. It not only shows you what information is needed but also provides explanations for each item so you know exactly what to provide.

3. Provide the necessary information easily
   We offer multiple ways for you to supply the required information:

   • Upload files: Drag and drop or attach files containing the necessary information. We support various formats, including PDF, Word documents, text files, and more.
   • Type directly: Use the input box to submit the information needed to fill out the form.
   • Upload photos or images: If you have documents that contain the required information but not in digital form, simply take a picture and upload it. Our AI will extract the data from the images.
